To start\nwith Ben-Yehuda advises everyone to examine their personal email behavior by\nway of a little audit<\/strong>. Only if you\nknow how many times a day you check your inbox for new incoming messages,\nargues the author, are you able to change your email habits. Your behavior may even\nchange automatically, just because you become aware of how often you have been\nchecking your messages. <\/p>\n\n\n\n

As a next\nstep, in most cases it would make sense to prioritize incoming messages. One\ntried and tested way of organizing such an email hierarchy<\/strong> is according to the importance of the sender \u2013 an email\nfrom your boss should obviously be handled differently to a weekly newsletter.   1. VIPs:<\/strong> People\nwhose messages require immediate attention <\/li>
  2. Key collaborators:<\/strong> People who you work with and require timely answers <\/li>
  3. Fun people:<\/strong> People\nwith whom communication is enjoyable, but not really necessary <\/li>
  4. Potentials:<\/strong> People\nwho may become important at some stage (but you\u2019re not sure yet) <\/li>
  5. Randoms:<\/strong> People\nwhose messages were uninvited and are not verified by a trusted source <\/li><\/ol>\n\n\n\n

    The author\nalso advises readers to join the 5\nSentences Movement<\/strong>. This movement aims \u2013 as the name suggests \u2013 to reduce email\nresponses to a maximum of five sentences<\/a>. Anything exceeding that should\nrather be clarified in a phone call or meeting. In principle, this self-imposed\nrestriction benefits all parties. <\/p>\n\n\n\n

    Last, but not least, emails should be dealt with according to a batch processing <\/strong>principle. In other words, the inbox should only be checked at specific, pre-defined times. This helps you to handle inbound emails strategically, and not merely reactively. To enable batching it is advisable to deactivate all alerts, notifications and pop-ups from your email client as far as possible, in addition to blocking out scheduled times in your calendar for processing incoming messages. Most users have found it sensible to batch their emails into three periods per day, Ben-Yehuda says, but it may of course make sense to check your email more regularly \u2013 the main thing is to remain aware and act deliberately. <\/p>\n\n\n\n
