Cloud Fax BIG direkt gesund sends faxes with Retarus Cloud Fax

Around 980 employees of the BIG direkt gesund health insurance company send and receive faxes at their workplaces using Retarus’ Cloud Fax Services. Furthermore, the statutory health insurance company uses Retarus’ SMS gateway for MFA one-time passwords from its customer portal.

Manual fax solution

Bundesinnungskrankenkasse Gesundheit – BIG direkt gesund, as it is known for short – was founded in 1996 in Dortmund and provides health insurance for around 500,000 people throughout Germany. BIG direkt gesund is legally based in Berlin, with its head office in Dortmund and an important administrative center in Aachen. BIG employs almost 1,000 people at its operational locations and offers consulting services at 13 BIGshops.

Before the introduction of Retarus Cloud Fax a few years ago, BIG direkt gesund used a fax solution with on-premises fax machines. These devices for receiving and sending faxes were cumbersome to operate and inevitably led to communication breakdowns and inefficient processes. Additionally, there were performance issues, such as fax server failures and the discontinuation of analog phone lines as part of the transition to All-IP.

BIG wanted to reduce the manual effort involved in fax communication and optimize its processes. In particular, they wanted the option of using fax functions directly from their employees’ PC workstations. Retarus was able to fulfill this requirement by integrating Email-to-Fax/Fax-to-Email into the usual email workflow.

Fax numbers mapped to email addresses

When it came to replacing its existing fax machines, BIG direkt gesund rolled out access to Retarus Cloud Fax to several hundred workstations across the company. For this purpose, Retarus’ services were integrated into the existing Outlook/Exchange infrastructure, including LDAP synchronization with the directory service. BIG direkt gesund only ensured the redundant provision of Retarus Cloud Fax afterwards. If the design were to be redone, the health insurance company would, according to its own statements, plan the “double floor” from the outset.

Mapping fax numbers to email addresses went smoothly. Even a later merger with another health insurance company with additional and different fax numbers was supported by Retarus with customer-oriented action and creative solutions. The new cloud-based fax solution was well received by users. No special training was needed beyond a one-time briefing.

Since then, all employees have been faxing using modern fax services that integrate transparently into their existing work environment and deliver tangible productivity benefits. Due to the high level of satisfaction, the health insurance company now also uses Retarus’ SMS gateway to send one-time passwords (OTP) for multi-factor authentication to the customer portal.
